Our front office team is very important as the first point of contact, welcome and customer service is what sustains a successful clinic of loyal and happy patients. You will be responsible for ensuring the patients are content with their care as well as customer service. The position is a permanent part time position which will require flexibility Monday to Saturday and may lead to full time employment with a long-term outlook and minimum two-year commitment. At present, we are looking for coverage for opening mornings Mon, Tue, Thur and Friday half days, vacation coverage and availability on two Saturdays a month, but flexibility for switching for afternoon shifts may be required. At our office you will be responsible for assisting clients in booking appointments, processing payments and answering general questions. Multi-tasking skills are important as you also will need to be answering phones, billing 3rd party insurance, and uploading documents in the background, all the while maintaining a friendly demeanor and conversating with patients to make them feel welcome and comfortable in office. We also require our office staff to pay fine attention to detail with mathematical skills as responsible for basic accounting duties and balancing of daily income. Upon re-opening our business after COVID-19 we also require office assistants to perform medical digital and verbal screening, sanitize both office area and patient rooms between patients and make sure patients are following new procedures and protocols up to Heath board regulations.
A strong candidate will be able to listen well,follow direction from management, but also have initiative to work effectively on your own. Engaging with patients in a professional,mature and customer service-oriented manner is key as well as ability to be patient, understanding and show empathy. It is important that you can demonstrate a professional attitude,business casual appearance, and be well versed in computer skills and efficient with office technology and software.
-Preferred qualification of a Medical Office Assistant/ Chiropractic Assistant Certificate
-Industry work experience of 1+ years an Asset
-Experience working with multi-disciplinary teams in medical/customer service environment
-Must be well versed in English Language
-Typing skills 50+WPM
-Basic accounting and mathematical skills
-Strong Knowledge and efficiency in Windows, Microsoft Office Suite(Word, Excel, Office Online, Outlook)
-Knowledge of Scheduling Software of MRX or medical scheduling software a bonus
-Knowledge of basic Medical Office Terminology
-Available to work Immediately and flexibility in availability and hours
-Professional, polished and personable
-Excellent phone manner, comfortable interfacing with practitioners and patients
-Strong skills in time management, able to prioritize tasks and meet deadlines as well as multi-tasking as we area fast paced office
-Team player and able to take direction and easily learn new skills
-Patience, understanding, the ability to show empathy are favorable people skills
-Interest in basic Social Media management an asset
